Six phases.Three signatures.

Every project goes through the same six phases, each with a fixed result. At three moments we ask for your formal approval: the preliminary design, the final design and the handover. You follow everything live in the client portal.

The phases

From intake to handover.

What we do in each phase, what we need from you and what you get in return.

Phase 01 / 06

Intake and KLIC

You submit the project with the proposed route, or with the request to determine it first. We map the work area, submit the KLIC notification and process the delivery per grid operator and per theme.

What we do

  • Intake meeting on scope, schedule and constraints
  • KLIC orientation request for the work area
  • Project file created in the client portal

From you

The proposed route or work area, the grid operator and your desired schedule.

ResultProcessed KLIC delivery and a defined work area

Phase 02 / 06

Quickscan

We assess the route for soil and groundwater, nature, archaeology, unexploded ordnance, external safety and land ownership. Before the design starts, you know which topics need a next step and which permits are likely.

What we do

  • Assessment per topic, with an outcome
  • First inventory of interfaces
  • Overview of the expected permits

From you

Known agreements with the municipality, water board or landowners.

ResultQuickscan report with an outcome and next step per topic

Phase 03 / 06

Preliminary design

We develop one or more route alternatives into a preliminary design with a substantiated preference. Before the VO reaches you, a second engineer checks the design.

What we do

  • Route alternatives with bottlenecks per alternative
  • Interfaces with a first risk class
  • Check by a second engineer

From you

Your review of the preliminary design and your approval in the portal.

Phase 04 / 06

Trial trenches

Where the position is uncertain, we dig trial trenches at the interfaces that call for it. We survey everything with RTK-GPS and feed the actual position straight back into the design.

What we do

  • Trial trench plan with the purpose of each trench
  • Digging, surveying and photographing
  • Deviations fed back into the design

From you

Access to the site and any arrangements with the contractor.

Phase 05 / 06

Detailed design

The final design and the construction design, with the field results included. Each interface gets a risk class according to CROW 500, a measure and an alignment status. Permit applications run in parallel.

What we do

  • DO and UO according to NLCS and the grid operator’s requirements
  • Interface register with a measure per interface
  • Permit applications submitted and monitored

From you

Your review of the final design and your approval in the portal.

Phase 06 / 06

Handover

You receive the complete file: drawings as DWG and PDF, the design as DXF in RD coordinates, the interface register, the reports and the permits. With your approval, the project is formally handed over.

What we do

  • Handover file compiled and checked
  • Files ready to download
  • Transfer to the executing party

From you

Your approval of the handover file.

Approval gates

Three moments when you sign.

We ask for your formal approval on the preliminary design, the final design and the handover. You give it in the client portal, on one fixed version of the document. Only then does the next phase start.

  1. VOPhase 03

    Approval of the preliminary design

You choose the route alternative we continue with. That fixes the route, and trial trenches and permit applications start.

    Next: trial trenches and permits
  2. DOPhase 05

    Approval of the final design

You approve the detailed design, including the measure per interface. The contractor bases the construction on it.

    Next: handover file
  3. HOPhase 06

    Approval of the handover

You confirm that the file is complete. The project is closed and all files stay in your project file.

If an approval has to be reopened, a Trayect project lead does so with a reason. That is recorded as well.

Client portal

Every step visible, without having to ask.

In the portal, each phase is divided into fixed steps, 28 in total. For each step you see who is working on it, the planned and actual date, and the progress.

Questions

Frequently asked questions

01

What happens if I reject a design?

You state in the portal what needs to change. We adjust the design, a second engineer checks it again and you receive a new version for review. Earlier versions and notes are kept.

02

Do I have to order all six phases?

No. You can start in the phase your project is in, or order a single component, such as a trial trench plan or a permit application. The approval gates apply to the phases we carry out for you.

03

Who can approve on our behalf?

Each organisation has an owner in the portal who invites colleagues and assigns roles. Only users with the Owner or Approver role can approve drawings and approval gates.

04

Can an approval be reversed?

Only a Trayect project lead can reopen an approval, always with a reason. It is recorded in the activity log, so it is always clear what changed and why.
